Quantum PMO Privacy Policy

Introduction
Quantum PMO ("we," "our," or "us") provides an enterprise-focused, AI-powered project management platform deployed as a Microsoft Azure Managed Application within each customer’s Azure environment. This Privacy Policy explains how we collect, use, and protect information related to the Quantum PMO service. Quantum PMO is governed by the laws of the State of New Jersey and complies with applicable privacy regulations, including the European Union General Data Protection Regulation (GDpr).
This Policy applies solely to enterprise and corporate customers and their authorized users. By using Quantum PMO, you acknowledge and agree to the practices described below.

Data Ownership and Customer Control
All data that customers input into Quantum PMO or that is generated within the platform on their behalf (“Customer Data”) remains the sole property of the customer. Quantum PMO does not claim ownership of Customer Data. Customers maintain full control over how their data is managed, accessed, or deleted within their own Azure environments.

Use of Customer Data
While Customer Data belongs to the customer, Quantum PMO may process such data to deliver, maintain, support, and improve the platform. Examples include:

Providing core platform functionalities, including AI-driven project planning, analytics, and dashboards.

Facilitating integrations with third-party tools like Jira, Smartsheet, and Microsoft Teams, in accordance with those platforms' API terms and the customer’s agreements with those providers.

Diagnosing issues, supporting customer requests, fixing bugs, and testing features.

Monitoring platform behavior and performance for quality control, reliability, and security.
Customer Data may be used for internal development purposes, such as improving the accuracy of AI models or optimizing user experience. In such cases, Quantum PMO takes steps to avoid disclosing identifiable or sensitive information beyond what is necessary for the improvement process.

Data Sharing and Integrations
Quantum PMO does not sell or rent Customer Data. However, limited sharing of data may occur:

At the Customer's Direction: When the customer enables integrations with systems like Jira, Smartsheet, or Microsoft 365, Quantum PMO accesses and transmits data through their APIs. The handling of that data is also subject to the privacy and API terms of those third-party providers.

With Service Providers: Quantum PMO may use trusted sub-processors to operate parts of the platform (e.g., Azure cloud infrastructure, diagnostic tools). These providers are contractually bound to use the data only as necessary and to maintain confidentiality and security.

For Legal or Compliance Purposes: If legally required, Quantum PMO may disclose data in response to valid requests from public authorities. Customers will be notified unless prohibited by law.
AI and Model Training
Quantum PMO does not use Customer Data to train public or third-party AI models. However, Customer Data may be used to test and refine Quantum PMO’s internal AI features and algorithms for quality and performance improvements. This may include supervised reviews of anonymized or pseudonymized data to improve results and reduce errors in responses from Pam, the AI assistant.
Any such use is limited to what is necessary and subject to technical and organizational safeguards.

Telemetry and Metadata
Quantum PMO collects telemetry and metadata to monitor system usage, diagnose issues, and improve functionality. This may include:

Feature usage patterns

Configuration settings

Error logs and exception reports
Telemetry data is used in aggregate form when possible and is not used to profile individuals. It is essential to ensuring the reliability, usability, and evolution of the platform.

Security and Confidentiality
Quantum PMO implements a robust set of security measures aligned with Azure’s best practices. These include:

Encryption of data in transit and at rest

Logical data isolation per customer environment

Confidentiality agreements and secure engineering practices
Data Subject Rights and Access
Quantum PMO is designed for enterprise use. Customers are responsible for managing user data rights, including access, correction, deletion, and export. Quantum PMO supports customers in meeting these obligations and provides tools to facilitate them.
Data subject requests received directly by Quantum PMO will be redirected to the appropriate customer when applicable.
International Data Transfers
Customer Data remains in the customer’s chosen Azure region. If any processing involves cross-border transfers (e.g., support cases), Quantum PMO applies appropriate legal safeguards, including Standard Contractual Clauses under the GDPR.
Changes to This Policy
We may revise this Privacy Policy from time to time. Material changes will be communicated to customers through the platform or by email. Continued use of the platform after changes indicates acceptance.
